“Thank you for calling [Brand]. We provide customer support by email so we can respond accurately. Please leave your name, email address, and a brief description of how we can help. If you are calling about an existing order, include your order number. We will reply by email within [response window]. Please do not leave payment-card information. Thank you.”
Use a response window such as “within one business day” only if the support team can meet it throughout normal and peak periods.

What to ask the caller to leave

Name

Use the name to find the customer and address the reply correctly.

Email address

Ask callers to say the address slowly and clearly because the reply will arrive there.

Order number

For an existing order, this is usually the fastest path to delivery, return, and item context.

Short description

Ask what happened and what help they need, without turning the greeting into a long questionnaire.

No sensitive payment data

Tell callers not to leave full card numbers, passwords, or other sensitive account credentials.

Adapt the prompt to the calls you receive

Keep one consistent opening and change only the detail prompt when a particular support reason needs more context.

Order or delivery issue

Ask for the order number, the item involved, and a short description of the delivery problem. The team can check tracking before replying.

Product question before purchase

Ask for the product name and the customer’s question. Avoid promising medical, legal, or other regulated advice your support team cannot provide.

Retailer purchase

Explain the process for products bought from another retailer. Ask for the retailer name only if your team can act on that information.

What happens after the beep
