Set up the workflow in six steps

Define the support promise

Decide whether calls go directly to voicemail or ring someone first. State the reply channel and a response window your team can meet.

Test the caller experience

Choose a dedicated number

After starting a paid subscription, choose a dedicated number from Recorder’s available inventory in US, UK, and Canada. Do not publish the shared trial line or PIN.

Write an order-ready greeting

Ask for the caller’s name, email address, order number when relevant, and a short description. Tell callers not to leave payment-card information.

Publish the number in Shopify

Add the dedicated number to the contact page and other places customers look for support, such as the footer, help page, order emails, or package inserts.

Define the internal handoff

Choose who reads transcripts, where order details are checked, how a reply is assigned, and when the original audio should be reviewed.

Where to publish the number

Make the phone channel discoverable without presenting it as a live hotline. Place the response expectation beside the number whenever space allows.

Contact page

Explain that callers can leave information and that the team will follow up by email. This is the clearest place to set expectations.

Help centre or FAQ

List the phone option beside email, chat, returns, and self-service content so customers can choose the right channel.

Order communication

Include the number only where the support team is ready for the calls it may generate, such as confirmation emails or package inserts.

Keep Shopify and your helpdesk as the source of truth

Team checks the order

A simple voicemail queue works only while the team can keep its response promise. Review the greeting and ownership rules before promotions and holiday peaks.

Update the response window

Change the greeting before a peak if replies will take longer than normal. Do not leave an outdated one-business-day promise in place.

Assign transcript coverage

Make one person or rotation responsible for reading new messages and moving them into the support workflow.

Know when to move upmarket

If customers need immediate answers or voicemail volume becomes unmanageable, evaluate staffed helpdesk voice, an answering service, or an AI phone agent.
